BOOKING TERMS AND CONDITION

Please read and accept the following Booking Terms and Conditions before booking a holiday tour with Nepal Guide Tours. By proceeding with the booking, you agree to abide by these terms and conditions.

1: Booking, Payment, and Refund

1.1. To confirm your tour with Nepal Guide Tours, we generally require a 20% down payment of your trip cost, with the remaining balance due 8 weeks before the trip departure date. However, we are flexible and can adjust payment schedules upon mutual agreement.

1.2. A 3.5% credit card service fee will be charged on top of the total payment if paid by card (Credit/Visa/Master/American Express). To avoid additional fees, cash payment upon arrival for the remaining balance is recommended.

1.3. Payment can be made directly to Nepal Guide Tours or through one of our authorized partners or sales agents.

2: Trip Cancellation Policy

In the event of trip cancellation, you must notify Nepal Guide Tours by email. The following cancellation policies will apply:

2.1. 14-28 days before departure: 100% Refund* 2.2. 1-13 days before departure: 20% No Refund*

(*Applicable only on Nepal trips)

3: Incompletion of Your Holiday

3.1. No refund will be made in case of the incompletion of the trip. However, a refund will be issued for the unused portion in the event of natural calamities.

4: Unforeseen Circumstances

4.1. Nepal Guide Tours reserves the right to cancel or refuse your booking due to unforeseen circumstances such as war, natural disasters, conflicts, unfavorable climate, etc. In such cases, an alternative trip of similar standard may be offered. If the alternative tour does not meet your interest, all monies paid by you will be refunded.

4.2. Nepal Guide Tours will not be responsible for any delay or cancellation of flights due to bad weather conditions, road blockage, landslides, or strikes. Any expenses incurred during this period will be your responsibility.

5: Participants’ Responsibility

5.1. You are responsible for ensuring that you have a valid passport with at least 6 months validity and all necessary visas, permits, or travel insurance for your selected holiday. Nepal Guide Tours will not be responsible for any problems, delays, or denied entry if you do not have valid travel documents.

5.2. You are responsible for complying with the laws and regulations of the countries visited. In case of violation, you are obliged to leave the tour immediately. Nepal Guide Tours will not be responsible for any refund, compensation, or additional expenses incurred by you in such cases.

6: Insurance

6.1. Travel insurance covering medical expenses, personal accidents, and rescue evacuation (if trekking in the mountains) is not included in our holiday packages. Nepal Guide Tours strongly advises you to purchase comprehensive travel insurance before embarking on your journey.
